Move from Connecteam ​

If your company is switching from Connecteam, Site Connect can bring your Connecteam data across — people, teams, jobs, schedules, clocked hours, timesheets, time off, forms and photos — so your history comes with you and both systems can run side by side until switchover day.

The connection is read-only: Site Connect only reads from Connecteam and never changes anything there.

Where to find it

Menu: System › Connecteam (under Integrations) · Address: hub.siteconnect.ai/settings/integrations/connecteamWho can use it: Anyone with the Settings permission (view) can look at the page — see Roles and permissions. Only workspace owners and admins can save the key, pull data, match records or run steps.

How it works ​

The move happens in three stages, one per tab:

  1. Pull (Sync tab) — Site Connect copies your Connecteam data into a separate store inside your workspace. Your projects, tasks and timesheets don't change yet. You can browse the copy on the Pulled data tab.
  2. Match (Matching tab) — link the people in Connecteam to employees in Site Connect.
  3. Put into use (Put into use tab) — turn the pulled data into Site Connect projects, tasks, hours, attendance and so on.

Connecteam allows 100 calls per minute and 10,000 per day. Site Connect slows down before it reaches that limit, so a big pull can pause for half a minute or so partway through. That's normal — it hasn't stopped.

1. Connect your Connecteam account ​

  1. In Connecteam (app.connecteam.com), go to Settings → Developer API → Create API key. Give the key read-only access — Site Connect never needs more.
  2. In Site Connect, go to System › Connecteam. The Connection tab opens.
  3. Paste the key into API key.
  4. Check Sync window (days) (14 by default). Each regular pull goes back this many days, because managers can still correct last week's timesheets in Connecteam.
  5. Click Save. Afterwards only the last 8 characters of the key are shown.
  6. Click Test connection. You should see Connection works — … people found in Connecteam. The Status card shows when it was Last checked and any error.

Automatic pulls start after a successful test

From then on, Site Connect pulls by itself. Time entries are pulled every 15 minutes, most other data every hour, and jobs, pay rates and catalogs every 6 hours.

2. Pull your data ​

  1. Open the Sync tab. The Data groups table lists everything Site Connect can pull: Users, Groups, Job, Time clocks, Time entries, Schedulers, Scheduled shifts, Forms, Submissions, Daily timesheet, Pay rates, Tasks hub and Auxiliary catalogs.
  2. For the first pull, click Re-pull everything. It goes back up to ten years, so your full history comes across. It uses many calls, so after the first time, only use it when you think data is missing.
  3. Watch the table: Stored is how many rows are in the store, Last run is when that group was last pulled, and Result shows the status, rows and calls used, or an error.

To pull again later, click Pull all, or Pull on a single row. Untick a group's box to leave it out of Pull all and the automatic pulls. Some groups say needs … first — pull that group first.

The History table below lists every run, with When, Group, Status, Pulled, Calls and Note.

To check what came across, open the Pulled data tab, pick a group from the list (the number in brackets is its row count) and use Search…. This is a raw, read-only copy, laid out so you can compare it with the Connecteam screen.

3. Match your people ​

Pulled data is only used once each Connecteam person is linked to a person in Site Connect.

  1. Open the Matching tab and choose People.
  2. Click Auto-match by email. Site Connect links every Connecteam person whose email matches exactly one person in your workspace.
  3. Work through Awaiting match. Where Site Connect found someone, it shows Suggested: and a name — click Accept suggestion. Click Skip for anyone you don't want to bring over.
  4. Check Matched. To undo a match, click the bin icon on its row and confirm.

People marked no match found don't match anyone in your workspace by email. Step 1 of Put into use brings them in: it links them to an existing Site Connect account with the same email or phone number, or creates a new one.

The Project view lists Connecteam jobs that don't have a Site Connect project yet. Step 3 creates them.

4. Put the data into use ​

Open the Put into use tab. The Migration steps list has twelve steps. Run them in order, from the top — each step uses the result of the one before.

  1. Click a step to open it. Site Connect counts what the step will do — for example To create, To update and To delete — without changing anything. Click Recount to count again.
  2. Click Run. Steps that delete rows ask you to confirm first.
  3. Some steps run in the background. You'll see Started — this step runs in the background; follow progress on the Sync tab.

If a step says the step before it has not been run in this session, it's a reminder, not a block. Running a step again is always safe.

StepWhat it does in Site Connect
1. PeopleCreates an account for each Connecteam person with an email address or phone number. No password is set and no email is sent. People who have left are brought in as inactive.
2. Teams / departmentsTurns Connecteam groups into teams and adds people to them. Skips All users and All admins, and never changes a team someone set by hand.
3. ProjectsTurns each Connecteam job into a project, with the job's address and location. Deleted jobs that have hours become archived projects.
4. Scheduled shiftsBrings over your Connecteam schedule. Run it before step 5 so clocked hours link to the right shift.
5. Actual work hoursTurns Connecteam time entries into hours worked on tasks. It doesn't touch attendance.
6. AttendanceTurns Connecteam's daily timesheet into attendance records, using Connecteam's own daily totals — so on switchover day both systems show the same hours.
7. Tasks from Tasks HubTurns Tasks Hub items into tasks, with their assignees and due dates.
8. Time offBrings over approved time-off requests as leave. The Connecteam leave type is kept in the note.
9. Check-in radiusUses your Connecteam geofences as each project's check-in radius — only where the project still has the default 200 m.
10. FormsTurns Connecteam forms into form templates.
11. Submitted formsBrings over the filled-in forms. Run after step 10.
12. Photos and attachmentsCopies photos and files into your own Site Connect storage. Choose how many recent months to copy (3 by default).

Copy your photos before you close Connecteam

Until step 12 runs, pulled photos and files are only links back to Connecteam. They stop working when your Connecteam account closes. If step 12 says storage isn't ready, contact support.

What keeps running by itself ​

Once at least one pull has succeeded, Site Connect applies new Connecteam data every 30 minutes:

  • new jobs become projects (existing projects aren't changed);
  • scheduled shifts appear as tasks on the Scheduling board;
  • clocked hours, attendance, Tasks Hub items, time off, check-in radius, forms and submitted forms are brought up to date;
  • Connecteam pay rates update your labour cost rates.

These steps don't run by themselves: People, Teams / departments, the full Projects update (which also refreshes project names and addresses) and Photos and attachments. Run them from Put into use when you need to.

Check that everything came over ​

At the bottom of Put into use, the Reconciliation card compares hours:

  • Hours at source — hours in Connecteam.
  • Hours pulled in — hours in Site Connect's copy.
  • Hours applied — hours that made it into Site Connect's records.

Green means Every hour pulled in has either been applied or has a clear reason. Otherwise it says how many hours are unaccounted for and breaks the gap down into Unmatched people, Entries with no job and Unmatched jobs. A table by Month helps you find where the gap is.

To close a gap of unmatched people, finish matching them on the Matching tab, then run step 5 again. Click Measure again to refresh the numbers.

Good to know ​

  • Site Connect only updates records that are linked to Connecteam. Anything you create in Site Connect without a Connecteam link is never touched.
  • For matched people, details filled in on Connecteam overwrite the Site Connect profile. A field that's empty in Connecteam doesn't erase what you typed in Site Connect.
  • People created in step 1 can't sign in until they have a password. Anyone with an email address can set one by following Reset a forgotten password. See also Employees.
