Approvals
The Approvals tab is where you ask for things — time off, an attendance correction, or any other request your company has set up — and where managers approve or reject what's waiting for them.
Where to find it
App menu: Approvals — on the default menu. The screen itself is titled Approve. Who can use it: everyone. The request types you can pick, and who approves them, are set up by your administrator on the web — see Approval templates.
Find your way around
Under the title, six filters split your requests:
| Filter | Shows |
|---|---|
| To do | Requests waiting for your decision. The number is how many. |
| Up next | Requests that will reach you once an earlier step is done. |
| Complete | Requests you've already approved. |
| End | Finished requests — completed, rejected or withdrawn. |
| CC'd | Requests someone copied you on. |
| Sent | The requests you sent yourself (on the web this is My requests). |
Each request shows its status — Pending approval, In progress, Approved, Reject or Revoked — and, if it has a deadline, how long is left (for example 1 day left or Overdue).
To see only one kind of request, tap the funnel (Filters), then pick a template under Filter by template, or All templates to see everything again. Pull down to refresh.
Numbers on the tab
The red number on the Approvals tab is the number of requests waiting for you.
Send a request
- Tap + next to the title.
- Select request type opens: What request do you want to submit? Request types are grouped by category. Tap the magnifier to Search request types....
- Tap a request type. The form opens with its name at the top.
- Fill it in. Every request has a Request title. Depending on the template you may also see Watchers (CC), Priority, Description, Attachments, photo or file fields, dates and times, and lists to pick from.
- The bar at the bottom counts what's missing, for example 2 required fields left. When it says Ready to submit, tap Submit request.
You'll see Request submitted, and the request opens so you can see who it's waiting for.
Time off
The time-off form shows your balance as you fill it in: Leave remaining: and how many days you're asking for. If you ask for paid leave and don't have enough days left, the app won't send it — it tells you how many days you're short and suggests choosing Unpaid leave or fewer days. More about balances: Annual leave.
Attendance corrections
If your company uses the Attendance tab, use the attendance correction request to fix a missed or wrong clock-in or clock-out. After you pick the date, the form shows Current attendance for that day (or tells you that you didn't check in that day), so you can enter the right times. The quickest way to start one is from the day itself on the Attendance tab — see Attendance.
Limits on some templates
A template can limit how far back you can pick a date (You can only pick a date within the last 7 days.) or how many requests you can send each month (You have 2/3 submissions left this month.). The form tells you when a limit applies.
Follow your requests
- Tap Sent, then tap a request.
- You'll see its status, the Request details you filled in, and Progress — every approval step, who's on it, and where the request is now. Comments and Activity are below.
While a request is still pending, you can take it back: tap Withdraw request, add a reason if you like (Reason for withdrawing (optional)), then tap Revoke. Its status becomes Revoked.
Sent back to you? An approver can return a request so you can fix something. Open it and tap Resend. The form opens as Update & resubmit — change what's needed, add an Update note (optional), and tap Resend. You'll see Request resubmitted.
Approve or reject a request
- Tap To do, then tap a request. You can also tap the notification you received.
- Check the details, the attachments and the comments.
- Tap Approve. In Approve request, add a note if you like (Notes (optional)) and tap Approve.
- Or tap Reject. In Reject request a reason is required — type it and tap Reject.
After you decide, the next request waiting for you opens automatically. When there are none left, you're back at the list.
If someone has to approve before you, the request says so (for example Waiting for Alex to approve first. You can still reject.). Approve stays hidden until then, but you can still Reject.
More actions
Tap Show more next to Approve and Reject:
- Return the request — Request changes & resubmit. Choose who gets it back (the sender, or someone who approved earlier), type a reason (required) and tap Return.
- Move to stage — hand your step to another approver. Pick the person, add an optional reason and tap Transfer.
- Add approver — bring someone else in. Pick the person, then choose Approve before (pre), Co-approve (co) or Approve after (post), and tap Add.
- CC watchers — share the request with someone so they can follow it. Add an optional message and tap Send.
Comments and attachments
- Under Comments, tap Add a comment. Type in Write a comment… — you can @mention people and attach a photo or file (Take photo, Choose from library or Attach file). Press and hold a comment to Reply to it, or to Edit or Delete your own.
- Activity lists everything that happened to the request. It's read-only.
- The share button at the top right lets you Share to chat or Get link.
Good to know
- Requests waiting for you also arrive in Chat as an Approval request card. Tap Handle, then Approve, Quick reject or View details.
- Everything here is the same on the web — see Approvals.
- On a tablet or an unfolded phone, the list and the selected request show side by side.
