Timesheet credit rules

These rules decide how many days of credit each day is worth — a full day, half a day or none — based on the person's attendance. They apply to the monthly timesheet and its Excel export, so set them once before you run payroll from Site Connect.

Where to find it

Menu: HR › Timesheet credit rules · Address: hub.siteconnect.ai/shifts/credit-rulesWho can use it: admins by default. Viewing needs the View permission on the Shifts row; changing the rules needs Edit on the same row — see Roles and permissions. Without Edit the page opens read-only.

How the page works

  • The blue Currently in effect box at the top sums up your rules in plain sentences. Read it after every change to check the result is what you meant.
  • Change the options in the sections below, then select Save settings at the top right. You'll see Timesheet credit rules saved.
  • Reset to default puts the original settings back in the form. Nothing changes until you select Save settings.

The rules apply to the whole workspace.

Choose how credit is calculated

Under How credit is calculated, pick one option:

  • By session (recommended) — splits the day into two sessions using the person's shift hours. Covering enough of a session earns half a day; covering both earns a full day. Someone who clocks in for ten minutes earns nothing. Three extra settings appear:
    • How sessions are split — By the shift break; shifts with no break are split down the middle, Only split when the shift declares a break, or No split — the whole shift is one session, no half days.
    • Minimum share of a session that must be worked — a percentage (50% by default).
    • And at least — a minimum number of minutes (60 by default), so very short sessions still need real time.
  • By total hours worked — looks only at the hours between clock-in and clock-out. Set Full day from (6 hours by default) and Half day from (3 hours by default).
  • Off — any attendance counts as a full day — no check on hours at all.

No shift hours? Use total hours

By session needs shift hours to split the day. When no shift hours apply to a person, every day on which they clocked both in and out counts as a full day. If your people don't have shift hours, By total hours worked is the option that actually looks at how long they worked.

With By session or By total hours worked, a day that earns less than full credit shows ABS/2 (half a day short) or ABS (a whole day short) on the monthly timesheet, and the shortfall goes into the Short days column of the Excel file.

Decide what happens when a clock-in or clock-out is missing

Under Missing clock in or clock out (days with only one punch), pick one:

  • Still count in full, just flag it (recommended) — the day cell shows MP and the day appears on the Review sheet of the Excel file, but nobody loses credit.
  • Count half a day
  • Count by sessions actually covered — without both punches no session can be measured, so in practice this means no credit.
  • No credit

If an approved late-arrival or early-leave request covers that day, it always counts in full, whatever you choose here.

Handle unexcused absences

An unexcused absence is a working day with no attendance, no leave request and no public holiday. Under Unexcused absence:

  • Mark ABS in the day cell — turn this off and the cell stays blank, and a blank cell in a timesheet means "worked as normal".
  • Deduct credit for absent days — off by default, so absences are marked but not deducted.
  • People who do not clock in — people who are never flagged absent, such as office staff or managers who work without clocking in. Type a name in Add an exempt person... to add someone; select × on a name to remove them.

Add exempt people before you turn on deductions

If you turn on Deduct credit for absent days first, everyone who never clocks in loses every working day of the month in the Excel file. Fill in People who do not clock in first.

These two switches and the exempt list control the Excel file. On the monthly timesheet screen, a past working day with nothing recorded is always shown as ABS.

Days before someone started or after they left

Under Outside the employment window:

  • Mark OB after the last working date
  • Mark NE before the hire date

These days are never counted in that person's standard days, so someone who joins on the 20th isn't shown as absent for the first part of the month.

Approved requests and other work arrangements

  • An approved late arrival request does not cost the morning session
  • An approved early leave request does not cost the afternoon session
  • Work from home counts as a full day — turn it off to count half a day.
  • Business trips count as a full day — turn it off to count half a day.

Late-arrival and early-leave requests are sent through Approvals — see Attendance adjustments.

Set your working week

Under Working days of the week, select the days your company works (Monday to Friday by default). Selected days are highlighted. At least one day must stay selected.

The working week is used everywhere in the timesheets:

  • It sets each person's standard days for the month.
  • Days outside it are weekly days off — never counted as absent, and leave requests don't use them up.
  • Work done on a weekly day off still shows, but it never creates a shortfall.

Good to know

  • The rules don't change any attendance record. They only decide how records are counted.
  • Changes apply straight away to any month you open or export, including past months.
  • The rules don't affect task check-ins or the hours on a project's Work hours tab.
