Task statuses
Every task has a status. Four default statuses apply everywhere — Pending, In progress, Suspended and Complete — and each task list in a project can add its own on top, such as "Waiting for inspection" or "Ready for paint". Statuses are the columns of the Kanban board and the groups of the list.
Where to find it
Menu: Tasks › open a project in the sidebar › open one of its task lists › Kanban column menu › Edit statusesWho can use it: people whose role includes the Task permission with edit rights — see Roles and permissions.
Statuses are set per task list, not for the whole workspace, so a punch list and a material-ordering list can each have the steps that fit them.
How statuses are grouped
Every status belongs to one of four groups, which tell Site Connect what the status means:
| Group | Meaning |
|---|---|
| Not started | New tasks that nobody has picked up. Pending is here. |
| In progress | Work underway. In progress and Suspended are here, along with most custom statuses. |
| Complete | Finished work. Complete is here. |
| Closed | Closed or archived tasks that no longer need tracking. |
Moving a task into a Complete or Closed status completes it. The Status filters in the task sidebar and the done counts use these groups, so a custom status such as "Inspected" counts as done if it sits in the Complete group.
Open a task list
- Click Tasks in the main menu.
- In the Projects section of the task sidebar, click the arrow next to the project to show its task lists.
- Click a task list. The page title shows the project and the list name.
- Switch to Kanban and make sure Group: is set to Status.
No task lists yet?
Hover over the project in the sidebar, click ⋯ › Add task list, type a name and click Create.
Add a status quickly
- At the right end of the Kanban board, click Add column.
- Type the name in Column name... and click Create (or press Enter).
The new status is added to the In progress group with its own color. On a custom status column you can:
- double-click the title to rename it;
- click the colored dot to change the color;
- drag the handle to move the column;
- click × (Delete column) to remove it. Tasks in that column go back to Pending.
The List view of a task list (grouped by status) has the same Add column button at the bottom.
Edit all statuses of a list
For full control — moving statuses between groups, recoloring the default statuses, or reusing a set on other lists — use the status editor.
- Hover over the header of one of the default columns (such as Pending) and click ⋯ (Options).
- Click Edit statuses. A dialog opens for the list.
- Under Status type, choose:
- Inherits the default template — the list uses the company's default status set; or
- Customize for this list — the list gets its own set.
- With Customize for this list, you can:
- pick a saved set under Status template to apply it;
- click + next to a group to add a status, then type its name (custom status names are shown in capitals);
- click a status's color dot, or its ⋯ › Change color, to recolor it;
- drag statuses to reorder them or move them to another group;
- use ⋯ › Delete to remove a custom status. The four default statuses are marked SYSTEM: you can recolor and move them, but not rename or delete them.
- Click Apply changes.
Each list needs at least one status in Not started and at least one in Complete or Closed; Site Connect tells you if one is missing.
To reuse a set on other lists, click Save as template, enter a Template name and click Save template. It then appears under Status template for every list.
Good to know
- Changing a task's status from its panel, the list or the board all use the statuses of the task's list. See Task details.
- Status columns are managed per task list. On a project's main board (all of its lists together), open a single task list first, then use Add column or Edit statuses.
- Personal columns (the Customize grouping on the Mine board) are separate from task statuses: they are only for you and don't change the task for anyone else.
- Changing Status to a completed status closes the task for every assignee — see Complete a task.
