Handover and return
Every time a tool or device goes out to someone, or comes back, record it here. Site Connect then knows who is holding each asset, checks the accessories on the way back, and keeps a full handover history you can search by person.
Where to find it
Menu: HR › Assets › Handover & return · Address: hub.siteconnect.ai/assets/assignmentsWho can use it: Admins by default. Others need View on both the Assets and Handover and recovery permissions to see this page. To record a handover they also need Create on Handover and recovery, and to record a return, Edit on Handover and recovery (Edit on Assets covers both) — see Roles and permissions.
The page, Asset handover & reclaim, has two buttons at the top, Handover and Revoke, and the history underneath.
Hand an asset to an employee
- Select Handover.
- Under Asset *, search for the asset. Only assets that are Available are listed.
- Under Recipient *, pick the employee.
- Set the Condition it's in as it goes out: New, Good, Fair or Broken.
- Add Notes if needed, for example which site it's going to.
- Select Handover.
The asset's status changes to In use, its holder becomes the recipient, and a line appears in the history with today's date.
Hand over from the asset itself
You can also open the asset from the Asset list and select Hand over asset in the Action box. That window also lets you set the Delivery date if the handover happened on an earlier day (it can't be a future date), and a Condition at handover of Good or Broken. Confirm with Hand over.
You can't hand over an asset that someone else already has (return it first), that's in Maintenance, or that's Disposed. You also can't hand an asset to someone whose account has been deactivated.
Record a return
- Select Revoke.
- Under Assets to reclaim *, search for the asset. Only assets that are In use are listed. Below the field you see who has it now.
- If the asset has accessories, they appear under Check accessories. For each one, select ✓ Complete, Missing or Broken. A missing or broken accessory needs a short reason.
- Set the Condition the asset came back in: Good, Fair or Broken.
- Choose the Conclusion:
- Return to storage: the asset goes back to Available, ready for the next person.
- Send for maintenance: the asset goes to Maintenance, and can't be handed out until it's back.
- Add Notes if needed and select Revoke.
The asset no longer has a holder, and each accessory takes the status you just checked, so it shows up as missing or broken on the asset's Accessories tab.
Quick return from the asset page
On an asset that's In use, the Action box shows Reclaim asset. Confirming it with Revoke returns the asset to Available straight away, keeping its condition, without the accessory check. Use the Revoke button on this page when you want to check accessories or send the asset for maintenance.
Look up the handover history
The table lists every handover and return, newest first, 20 per page:
| Column | What it shows |
|---|---|
| Time | The date of the handover or return |
| Type | Handover or Revoke |
| Assets | Asset name and code |
| From / To | Who returned it / who received it |
| Condition | Condition recorded at that moment, how many accessories were OK, and any missing or broken accessory with its reason |
| Assignee | The person who recorded it in Site Connect |
| Notes | Notes entered at the time |
To narrow it down:
- Employee: shows everything a person received or returned. Handy when someone leaves and you need to know what they still have.
- Type: All, Handover only or Revoke only.
For the full story of a single asset (including edits, condition changes and maintenance), open it and go to its History tab — see Asset list.
Good to know
- Changes to the holder only happen through handover and return, never by editing the asset, so the history is always complete.
- An asset sent for maintenance stays in Maintenance until you change its status. There's no on-screen button for that yet; update its Status to Available with Import from file on the Asset list.
- When someone leaves, filter this page by their name, then return each asset they still hold before you deactivate them on Employees.
