Project settings
Project settings apply to every project in your workspace: how tasks are named, whether projects need an address, your list of project stages, working hours, how scheduled tasks reach your crew, and more. Settings for a single project (check-in, forms, who can see its tasks) live on that project's own Settings tab — see Inside a project.

Where to find it
Menu: Project › Settings · Address: hub.siteconnect.ai/projects/settingsWho can use it: everyone with the Task · View permission can open the page. Changing settings is for admins and people with the matching permission — for example Scheduling · Edit for the two scheduling cards. If you don't have permission, Site Connect tells you when you try to save. See Roles and permissions.
Each card saves on its own. Most save as soon as you click an option; cards with text or time fields have their own save button.
Default task name
Let Site Connect name tasks for you when the title is left blank.
- Tick Name tasks automatically from a pattern.
- Edit the Name pattern. It starts as
{project} #{seq}. Click a chip to insert a piece: Project name, Sequence number, Sequence number, 3 digits, Task list name, Created date or Creator. A preview shows what the next task will be called. - Click Save name pattern.
Tick Lock the name, no editing if every task must follow the pattern — nobody can type their own name at creation or rename the task later. The pattern also applies to scheduled tasks created on the Scheduling board.
Include a sequence number
Without {seq} in the pattern, every task gets exactly the same name.
Project address
Decide whether projects have an address:
- Off — the create form doesn't ask for an address and task details don't show one. Saved addresses are kept, and check-ins still measure distance from the pinned location.
- Yes, optional — the default. The address field is there but can be left empty.
- Required — every new project must have an address, and an existing address can't be cleared. Older projects without one can still be edited; add their addresses over time.
When a project has an address, its tasks show it with a Directions button that opens Google Maps, on desktop and mobile.
Project stages
Your project stages are the columns of the Stage board and the choices in each project's Stage field. New workspaces start with a set of stages you can change freely.
- Add a stage — type a name in New stage name and click Add stage.
- Rename — click the stage name, edit it, and click away to save.
- Change the colour — click the colour dot.
- Reorder — use Move up and Move down.
- Closed — tick it for stages that mean the job is done. Projects in a closed stage are hidden by the Running filter on the project list and map.
- Default — click the star to make a stage the default for new projects. Click it again to unset it.
- Delete — click the trash icon. If projects are still in that stage, choose where to move them and click Move and delete.
Each stage shows how many projects are in it (archived projects included).
Circle
Split work into fixed time periods, like sprints. You can run a company-wide Circle and separate Circles for groups of departments or teams. Click Add Circle (or Create the first Circle) to set one up. Details are in Circles.
Working hours
Set your company's working day with Start and End. The Scheduling board uses these hours to pre-fill new scheduled tasks (8:00 to 17:00 until you change them).
Pre-fill working hours on new tasks controls regular tasks:
- No, date only — the default. Regular tasks are created with a date only; add a time when you need one.
- Yes, use working hours — the new-task form pre-fills the start and due times with your working day.
Scheduled tasks always have hours, whatever you choose here.
Publishing scheduled tasks
Choose whether tasks created on the Scheduling board start as drafts:
- Draft — visible after Publish — the Site Connect default. New scheduled tasks are drafts that only schedulers can see. Your crew sees them, and gets notified, once a scheduler clicks Publish on the board.
- Publish on create — tasks go to the crew as soon as they're created, and the board hides the publish and unpublish controls. Drafts left over from before still show a Publish button so you can send them.

Assignees accept / decline tasks
On by default in Site Connect. When it's on, published scheduled tasks show Accept and Reject buttons to the assignee (in the app and in task details on the web), and schedulers see each person's answer on the board. Turn it off to hide those buttons and answers.
Auto-close forgotten check-ins
If someone forgets to check out, Site Connect closes the session for them so the clock doesn't run all night. This applies to every site, and it isn't an attendance shift.
- Tick Auto-close forgotten entries.
- Set Start and End (the window in which work normally happens; an end before the start means an overnight window).
- Set Grace period (minutes) — extra time after the end so someone finishing up isn't cut off.
- Set Maximum session (hours) — sessions longer than this are cut even before the end time.
- Click Save.
The cut-off follows the clock of the site the person checked in at. The card also tells you how many open sessions will be closed on the next sweep, and how many older sessions run past the maximum. Click Trim to limit to cut those back. Every trimmed entry is flagged so you can review and correct it by hand.
Multiple time zones
Off by default — most companies work in one time zone, set under General settings. Tick Give each project and each person their own time zone if your sites span several time zones. Each project then runs on its site's local time (worked out from the project address), and each person on the time where they work.
Stamp details on photos
On by default. Stamp capture time and location on photos adds the time, date, address and coordinates to the bottom of every photo your crew takes on site, so photos can serve as evidence for sign-off or an insurance claim. Only photos taken in the app are stamped — photos picked from the phone's gallery never are, because there's no way to know when or where they were taken.
