Attendance settings
Attendance settings decide what people must do when they clock in or out on the Attendance tab of the mobile app — for example take a photo, or have their location turned on — and lets you set different rules for one branch, one team or one person.
Where to find it
Menu: HR › Attendance settings · Address: hub.siteconnect.ai/attendance/policiesWho can use it: anyone with the View permission on the Attendance management row can open the page and use the preview. Adding, editing or turning off layers and recalculating timesheets is for workspace admins who also have Edit on that row — see Roles and permissions.
Some controls don't have English labels yet
A few buttons and lists on this page aren't translated yet. This guide describes them by where they are and what they do.
Task check-ins are set elsewhere
These rules only apply to clocking in and out on the Attendance tab. Check-in rules for tasks — the distance allowed from the project address, whether check-in is allowed outside it, which days check-in is open — are set on each project (see Project profile). Automatic check-out of forgotten task check-ins is in Projects settings.
The built-in rules
With no layers at all, Site Connect uses these rules, based on whether the person is within the radius of one of your active Locations:
| Situation | Photo | Location (GPS) |
|---|---|---|
| Clocking in inside a location | not required | not required |
| Clocking in outside every location | required | required |
| Clocking out inside a location | not required | not required |
| Clocking out outside every location | not required | required |
| Working from home (an approved Working from home request covers the day) | not required | not required |
Outside every location, the app also asks the person to send an Out of office approval request and wait for it to be approved before clocking in — unless an approved Working from home request covers that day. See Locations.
How layers work
You change the built-in rules by adding layers. A layer applies to one scope:
company-wide → branch → department → shift → individual employee
A narrower layer overrides a wider one, but only for the cells it actually sets. A branch is one of your Locations; a department is a team from Teams / Departments. Each scope target can only have one active layer — to change it, edit the existing layer.
The Policy layers section lists every layer with its scope, target, reason and any extra requirements. A turned-off layer stays in the list, greyed out.
Add a layer
Select the blue button at the top right of the page. A form opens.
Under Scope, choose company-wide, branch, department, shift or individual employee. For anything other than company-wide, pick the Target (— select —) — the location, team or person. You can't change the scope later (The scope of an existing layer cannot be changed).
Type the reason in the field below — it's required, so that months later anyone can see why the layer exists. For example: Site insurance requires a photo at clock-in.
Optionally set Effective from and To date to limit the layer to a period, such as a temporary exception.
In Photo and location rules, each row is a Situation — clocking in or out, inside a location, outside every location, or working from home. For each one, set Require photo and Require location to:
- default — this layer doesn't touch it; the wider scope decides.
- required
- not required
Only change the cells that really need to be different.
Select the blue button at the bottom right of the form to save. The layer appears in Policy layers and applies to the next clock-in.
Extra requirements
Below the table, the form also lets you add extra requirements to each clock-in or clock-out. Use the Photo and location rules table for photos and location instead. The current mobile app has no step for a code scan or a "read and confirm" requirement, so don't add those: one set to block would stop people from clocking out.
Edit or turn off a layer
- Select Edit on a layer to change its rules, reason or dates.
- Select the bin icon to turn it off. Confirm in Turn off this policy layer? The layer stops applying but isn't deleted, so you can still see later why someone had different rules last month.
Preview what someone will be asked for
Before you roll out a change, check it on a real person:
- In the Preview section, pick a person in Employee (— select employee —) and a Date.
- Select the button next to them.
- Read the result: What the employee must do lists the extra requirements that apply (or No attached requirements — one tap and done.), and Why — each layer applied, broadest to narrowest lists every layer that applies to them, with its reason.
Review exceptions
The third section lists every layer narrower than company-wide — who it applies to, the reason, and when it ends. Layers with no end date are shown in red: those are the ones worth reviewing regularly. If there are none, you'll see No exceptions — good.
Recalculate timesheets
Changing the rules doesn't change records that already exist. To apply the current rules to past days:
- In Recalculate timesheets, set From date and To date (the start of this month to today by default).
- Select the first button to do a dry run. Nothing is saved: you see how many records were checked, how many rows · will change, and up to 20 examples of what would change.
- If the result looks right, select the red button and confirm. Site Connect rewrites the status and hours of the attendance records in that range.
If you see · limit reached, narrow the date range, run it again on a shorter period.
Always do a dry run first
The red button overwrites real attendance records. Run the dry run, read the examples, then apply.
Good to know
- When the phone has no connection, requirements that would normally block clocking out are relaxed: the record is accepted and flagged for review instead of being refused.
- How many days of credit a day is worth is set separately, in Timesheet credit rules.
- Where people count as "inside" depends on your Locations and their radius.
