Circle ​

A Circle splits work into fixed time periods, like sprints: each period has a start and an end date, and you decide which tasks belong to it. When a period ends, Site Connect closes the books, freezes that period's numbers so you can compare later, and can carry unfinished tasks over to the next period. The Circle screen shows every period — running, upcoming and closed — with its progress.

Set up a Circle ​

Circles are off until someone creates one. You can run several Circles side by side: one for the whole company, plus one for each group of departments or teams.

  1. Go to Project › Settings and find the Circle section.
  2. Click Create the first Circle (or Add Circle if you already have one).
  3. Under Applies to, choose Company-wide (every task in the company, except projects that run their own Circle) or Department / team. For a department or team Circle, enter a Circle name and pick the teams. Picking a parent department includes its sub-teams.
  4. Set the Period name pattern (for example Circle {n}, where {n} is the period number) and How long is one period (1, 2, 3 or 4 weeks, or a number of days).
  5. Click Create Circle.

Click a Circle in the list to open its settings. The main ones:

  • Which tasks join the period — Manual only (the period starts empty and you add tasks yourself), By rule (tasks matching a priority, due-date window, projects or people join automatically) or All open tasks.
  • Move unfinished tasks to the new period — when a period closes, unfinished tasks carry over. Untick it to leave them in the old period.
  • New tasks join the running period — tasks created later are added automatically.
  • Align periods from — pick a start date (for example a Monday) so every period starts on that weekday.
  • Close now and open a new period — closes the running period early.
  • Circle is on — untick to stop opening new periods (existing ones are kept). Delete Circle closes the running period at once, cancels the upcoming one (its tasks are released) and keeps closed periods viewable.

A single project can follow the company-wide Circle, run Its own Circle for this project, or opt out with Don't use Circle. That choice is in the project's own settings — see Project profile.

Start small

Manual only is the safest start. With All open tasks, every unfinished task in scope goes into the period, which can make a very long list in a busy company.

See how a period is going ​

Open Tasks › Circle. Each period is a card showing:

  • its name and dates, and a status: Running, Upcoming or Closed;
  • how many days are left (or that it is overdue);
  • a progress bar of done tasks against total, with a line marking how much of the time has passed. Behind schedule appears when the work is clearly behind the clock;
  • quick numbers: unfinished, carried in (from the previous period) and new in this period, plus the people carrying the load.

Click a card to expand it:

  • four boxes: Total tasks, Done, Carried in, and Unfinished (for a running period) or Carried to the next period (for a closed one);
  • By assignee — each person's done/total. A task with several people is counted for each of them. Only people allowed to see the whole team's tasks see this part;
  • the period's tasks, with Title, Assignee, Due, Projects, Status and Period crossing (From the previous period or To next period). Click a task to open it.

For a closed period, the numbers and statuses are a snapshot taken at closing time, not today's state.

Choose which Circle to look at ​

Use the selector at the top right:

  • All circles — every Circle in the company on one screen.
  • Company-wide cycle — the company-wide Circle.
  • A department or team Circle by name.
  • A project — that project's own Circle. If the project follows the company-wide Circle, you'll see a note saying so.

Add tasks to a period ​

  1. Expand a running or upcoming period and click Add tasks to this period.
  2. Narrow the list with Search by task name…, project, Department / team, assignee and priority. Tick Include completed tasks if you need them.
  3. Tick tasks (or Select N visible tasks) and click Add N selected tasks, or use Add all (N) to add everything that matches.

A task can be in only one Circle at a time. Closed or expired periods don't accept new tasks.

You can also set a task's Circle from the Circle field in its task panel.

Plan the next period ahead ​

Click Create next period at the top to create the next period now, right after the current one, so you can fill it with tasks before it starts. It shows as Upcoming until its start date. (The button appears when a single Circle is selected, not on All circles.)

Filter a project board by Circle ​

On a project's task board (open the project from the Tasks sidebar), the Circle button on the toolbar shows the running period and filters the board:

  • All tasks
  • Only tasks in the running circle
  • Tasks not in any circle
  • a department or team Circle that is running
  • Review earlier circles opens this Circle screen.

The button only appears when there is a Circle to filter by.

Good to know ​

  • Periods close automatically at the end date. An expired period that hasn't closed yet says This period has expired — it takes no more tasks. The system will close it within the hour.
  • If there is a gap in a Circle's history, the card after the gap says how many periods were skipped.
