Plans and billing
Plans & Billing shows which plan your workspace is on, how many user seats it has, how much storage you're using and when the plan expires. It's also where you buy or renew a plan, top up your company's credit wallet, and ask the sales team for an upgrade.
Where to find it
Menu: Plans › Plans & billing · Address: hub.siteconnect.ai/billing — or click the plan badge in the top bar. Who can use it: Admins by default. Others need the View permission for App modules to open the page, and Create for App modules to pay for a plan, top up credit or send an upgrade request — see Roles and permissions.
The plans
Every workspace runs on one plan. The Upgrade path on the page shows them as tiers, with your current tier marked In use and lower tiers marked Passed:
| Tier | Plan | In short |
|---|---|---|
| 0 | Free | Free forever for up to 3 users. Every new workspace starts here. |
| 1 | Basic | Paid per user, per month. |
| 2 | Pro | Paid per user, per month. |
| 3 | Premium | Paid per user, per month. The only plan that includes the AI features of Photos & notes. |
Each paid tier shows its current price per user per month (…/user/month); Free shows Free forever. Prices can change, so always check the page for today's prices — the renewal form also shows the monthly and the yearly rate side by side.
What Premium adds
Premium is the only plan that turns on AI in Photos & notes: voice notes turned into text, photo captions written from what you said, summaries of a set of photos, and translation. You don't need your own AI account or keys.
Without Premium, photos, files and voice recordings still work — recordings are saved and anyone on the task can play them back; they just aren't turned into text. AI access is per workspace: each workspace needs its own Premium plan.
Check your plan, seats and storage
The Current plan card at the top shows:
- the plan name, and Next expiry with a date (or No expiry),
- User — seats in use out of seats on your plan, with … seats left, or … users locked out of seats in red,
- Storage — space used out of the space your plan includes.
Below it, under In use, each plan you have shows its status (In use, … days left or Expired), the seats it grants and how long it's valid (Valid start → end).
- Click View users to see who holds a seat: each person's team, title and since when. Anyone shown as Locked has lost access because there weren't enough seats.
- If you bought a plan several times, click … purchases to see each purchase with its quantity, dates and reference.
- Plans that were replaced or stopped are kept under Plan history at the bottom of the page.
Buy, renew or upgrade
There are two ways to pay for a plan:
- Pay online, straight away. Use Buy a plan (on the Free plan) or Renew plan in the Workspace plan card. You pick the plan, the number of users and monthly or yearly billing, then pay by card or with credit from your wallet. Step-by-step: Credit wallet and renewals.
- Talk to the sales team. Send an upgrade request (below) if you need a quote, an invoice to your company, or help choosing.
Send an upgrade request
- On the Upgrade path, click Request an upgrade under a higher plan. To add seats to a plan you already have, click Buy more on its card under In use (or Renew if it has expired).
- Optionally enter Quantity needed (users) — leave it blank if you'd like advice.
- Add a Note for the sales team, for example 5 more seats before Sep 1, invoice to the company.
- Click Send request.
The plan now shows Request sent, and the sales team contacts you with a quote. Seats and features open as soon as the order is activated. Changed your mind? Click Cancel next to Request sent. You can have one open request per plan.
How seats work
- Every active person in the workspace uses one seat — owners and administrators included. The Free plan has 3.
- When all seats are taken, you can't add or invite more people until you buy more seats (see Employees and Employee invitations).
- If your seats drop below the number of people you have — you buy fewer seats, or a plan expires without being renewed — the people added most recently are locked out. The workspace owner is never locked out. The renewal form warns you before you pay for fewer seats.
- When you add seats, locked-out people get access back automatically, starting with those locked out first.
The plan badge in the top bar
The badge next to your avatar shows Users (seats in use / seats on your plan), Plan expiry and, if you can see billing, Credit left in your wallet. A warning icon appears when every seat is used or someone is locked out. Click the badge to open this page. See Find your way around.
Good to know
- Plans belong to a workspace. If you run several workspaces, each one has its own plan, seats and credit wallet — see Workspaces.
- Renewing early doesn't waste days. Renewing the same plan before it ends adds the new period after the current one.
- Prices are per user, per month. Paying yearly is billed once for twelve months.
