Labour cost rates ​

A labour cost rate is what one person costs you per hour of work. Site Connect uses these rates to turn the hours people log on tasks into dollars, which is how a project's Finance tab shows labour cost and profit. Each person can have several rates over time, each with its own effective date.

How costs are worked out ​

  • Each time someone checks in and out of a task, Site Connect records how long they worked.
  • That time is costed at the person's rate in effect on the day the work was done, and the cost is stamped onto that work entry. Changing someone's pay later never changes the cost of work already done.
  • Rates can be Hourly or Yearly. A yearly salary is converted to an hourly cost by dividing it by 2,080 hours (40 hours × 52 weeks).
  • Amounts are in your workspace currency, shown at the top of the page (for example Currency: CAD). You set the currency in General settings.

On a project, the Finance tab adds up the labour cost of all work logged on that project, alongside the contract value and paid expenses, to show profit or loss. It also tells you how many work entries don't have a cost yet. The same view permission applies: people without it don't see the Finance tab. See Project profile.

Add a rate ​

  1. Select Add rate.
  2. Choose the employee under Employees *.
  3. Choose the Rate type: Hourly or Yearly.
  4. Enter the amount — Cost per hour or Annual salary — in your workspace currency. It must be greater than 0.
  5. Set Effective from * — the first day this rate applies. It defaults to today.
  6. Optionally add a Note.
  7. Select Save.

Set the rate when you add the employee

The Add employee form has an Hourly cost field. Filling it in creates the person's first rate, effective from their joining date — see Add an employee.

Give someone a raise ​

Add a new rate with the new amount and the date it starts (Add rate, or Edit rate on an existing row and change the date). Changing the date adds a new rate entry and keeps the previous one, so work done before the raise keeps its old cost.

To correct a rate that was simply wrong, select Edit rate (the pencil) on that row, fix the amount and keep the same Effective from date.

Apply costs ​

Select Apply costs to cost every work entry that doesn't have a cost yet — new work since the last run, and work by people who were missing a rate. It runs in the background, and running it again does no harm.

New work isn't costed the moment someone checks out: it gets its cost the next time costs are applied. Select Apply costs before you review a project's Finance tab. (If your workspace uses the Connecteam import, costs are also applied automatically each time the import runs.)

Work that's already costed doesn't change

Apply costs only fills in entries without a cost. Editing a rate doesn't re-cost work that was already costed with the old amount.

Rates that need a second look ​

Some amounts are almost certainly typos — most often a yearly salary typed into the hourly field. Site Connect saves them but doesn't use them for costing, and lists them at the top with a yellow background and a reason such as Unusually high hourly rate — this may be an annual salary. A banner above the list tells you how many there are.

As a guide, hourly rates below 5 or above 500, and yearly salaries below 5,000 or above 2,000,000, are flagged.

To fix one, select Edit rate, correct the amount, save, then select Apply costs so the affected work gets costed.

Read the list ​

Each row shows the person (People), Effective from, the Rate, the Type and the Source — Manual entry for rates typed here, or Connecteam for rates brought over from Connecteam. Use Search by name to find someone. A person's newest rate is listed first.

Good to know ​

  • Someone with no rate has no labour cost, so their hours count as uncosted on the project Finance tab until you add one and select Apply costs.
  • Rates typed here are never overwritten by the Connecteam import.
  • Only hours logged on tasks are costed here — this isn't payroll.
