2Add employees ​

Everyone who uses Site Connect — office staff, supervisors and the crew in the field — needs their own account in your workspace. You can type people in yourself, import a spreadsheet, or send an invitation so they set up their own account. This step takes 5–15 minutes depending on the size of your crew.

Before you start

  • Who should do this: the workspace owner or an admin.
  • Seats: every person uses one seat of your plan. The Free plan includes 3 users — enough to try a real day with yourself and two crew members. See Plans and billing when you need more.
  • Address: hub.siteconnect.ai/employees — menu HR › Employees.

Seats are checked first. Every person uses one seat of your plan. When all seats are in use, Add employee is greyed out with a banner explaining why, and an import is refused before any row is written if the file has more people than you have seats left.

Option A — Add one person ​

  1. Open the form

    In the left menu, go to HR › Employees and select Add employee (top right).

  2. Name and email

    Fill in Full name and Email — both are required. The email is what the person signs in with.

  3. Starting password

    Set a Password (at least 6 characters). Choose Random for a strong one and copy it before you save.

  4. Phone number

    Enter their Phone number with the right country code (Canada and the US are +1). Crews can then sign in to the app with this number and a text-message code — no password to remember.

  5. Team, roles and cost (optional)
    • Department / Team — groups people on the Scheduling board and in reports.
    • Permissions (Roles) — everyone gets Employee. Tick Manager or Administrator only for people who run projects or build the schedule (both roles can edit the Scheduling board).
    • Hourly cost under Employment contracts — needed later if you want labour cost per project. A Contract type is filled in for you.
  6. Save

    Select Create new.

The person can sign in straight away. Repeat for each person.

Option B — Import a crew from a spreadsheet ​

  1. On HR › Employees, select Import employees.
  2. Select Download template and fill in one row per person. name and email are required; add phone too so people can sign in with a text-message code.
  3. Drop the file into the dialog and select Import now.
  4. Note the starting password shown on the results screen and share it with your people.

Option C — Send an invitation ​

Menu: HR › Employee invitations
  1. Create the invitation

    In the left menu, go to HR › Employee invitations and select Create invitation.

  2. Who and what role

    Keep Invite one specific employee, type the person's email, and pick their department and roles.

  3. Send it

    Select Create + send email.

The person gets an email with a Join now button. They choose their own password and land in your workspace. To invite a whole crew at once, create a Public link instead and post it in your crew's group chat — then revoke it once everyone has joined. Details: Employee invitations.

Someone already uses Site Connect with another company?

Add employee can't create a second account for an email that already exists. Site Connect offers Send invites instead — the person joins your workspace with the password they already have.

Get everyone onto the mobile app ​

Your crew does their part — accepting tasks, checking in and out, adding photos — on the Site Connect app. Before their first day:

  1. Ask each person to install Site Connect from the App Store (iPhone) or Google Play (Android).
  2. They sign in with Sign in with your phone (the number on their employee record) or with their email and password.
  3. They allow notifications when the phone asks, so they hear about new tasks.

Optional: set up teams and roles ​

You can do these later, but they make the next steps easier:

  • Teams / Departments — for example "Framing crew" or "Office". The Scheduling board can group people by team. See Teams and departments.
  • Roles — decide who can create projects, build the schedule and approve requests. The built-in Administrator, Manager and Employee roles are a good start. See Roles and permissions.

Check your work ​

  • [ ] Every person shows on HR › Employees with a phone number.
  • [ ] The people who will build the schedule have the Manager or Administrator role.
  • [ ] At least one crew member has installed the app and signed in.
