7Review and approve ​

Your crew has worked their first day. Now close the loop: check who showed up and for how long, read what they reported from site, and handle the requests they sent — time off, corrections and the rest. A daily check takes about ten minutes.

Before you start

  • Who should do this: owners, project managers and whoever approves requests in your company.
  • Approvers: by default a request goes to the employee's direct manager, and to an admin when the person has no manager. You can change that per request type in Approval templates.

1. Check today's site activity ​

  • Who checked in where — open Project › Check-in map. Each check-in is a pin, marked Within range or Outside range of the project address. Set the time filter to today. See Check-in map.
  • Who accepted or declined — on the Scheduling board, each person's avatar on a published task shows whether they accepted, declined or haven't answered yet. Reassign anything that was declined.
  • What happened on each task — open a task to read the check-in and check-out cards, the form answers and the photos, all in its activity. See Task details.

2. Review hours ​

Hours from task check-ins are counted per project and per person:

  1. Open the project

    Go to Project › List and open the project.

  2. Read the Work hours tab

    Open the Work hours tab. You'll see Total actual hours against Planned hours (task estimates), a bar for each week, and a table of each person's hours.

For a view across all projects, open Tasks and switch to the Workload view: one row per person, one column per day, with planned hours and, underneath, actual hours from check-ins. See Tasks.

Check-ins and attendance are two different things

Task check-ins record time on a job. Separately, Site Connect can record time present for the day, when people clock in and out on the app's Attendance tab. The timesheets under HR are built from attendance, not from task check-ins — so if your crew only checks in on tasks, look at hours on the project's Work hours tab instead. 3. Handle requests ​

Employees send requests — time off, overtime, expenses, attendance corrections and more — from the Approvals tab of the app or from the web. They all land in one place:

  1. Open your queue

    Go to Approvals › Approval inbox and select Tasks › To do. The number next to it is how many requests are waiting for you.

  2. Read the request

    Select a request to read it, with any attachments and comments. The Workflow tab shows every step and who approves it.

  3. Decide

    Select Approve (with an optional note) or Reject (a reason is required). To ask the sender for a change, use Send back instead.

The next request opens automatically so you can keep going. The person who asked is notified of your decision. See Approval inbox for sharing, bulk approval and statistics.

Where approved requests show up ​

Time offListed on HR › Leave › Leave, and annual leave days come off the person's balance. See Time off requests and Annual leave balances.
Attendance correctionThe person's attendance record for that day is fixed, and the correction is listed on HR › Adjustment approvals. Corrections sent with Explanation from the app's monthly timesheet are approved on that page itself. See Attendance adjustments.

4. Make it a routine ​

A simple rhythm that works for most crews:

  • Every morning: check the Scheduling board for declined or unanswered tasks, and the Check-in map once the crew should be on site.
  • Every afternoon: clear To do in the approval inbox.
  • Every week: compare actual and planned hours on each project's Work hours tab, then publish the next week's schedule.
