Unallocated hours
This report compares the time people were present (their attendance) with the time they logged on jobs (their task check-ins). The difference is unallocated time: hours you paid for that aren't tied to any task or project. A small gap is normal — travel between projects, meetings and waiting for materials are all time present with no job to log it against. A large or growing gap is worth a look.
Where to find it
Menu: HR › Unallocated hours · Address: hub.siteconnect.ai/attendance/unallocated-hoursWho can use it: admins by default. Others need the View permission on the Attendance management row — see Roles and permissions.
You need both kinds of time
The report only makes sense when your team records both attendance (clocking in and out on the Attendance tab of the mobile app) and task check-ins. If people only check in on tasks, their hours present are zero and every number on the page turns negative. See Attendance vs. task check-ins.
Check unallocated hours for a period
- Go to HR › Unallocated hours. With no dates set, the report covers all the data you have. You'll see Calculating… for a moment.
- To look at a period, set From date and/or To date. Clear filter removes them.
- Read the four totals at the top:
- Hours present — total hours from attendance records.
- Hours on jobs — total hours from completed task check-ins.
- Unallocated hours — hours present minus hours on jobs, with the gap as a percentage of hours present next to it.
- Days with no job logged — days when someone had attendance but no task check-in at all. When there are any, the card turns amber and a note explains that those hours can't be attributed to any project.
- Read the table below, one row per person: People, Date (the number of days counted for that person), Hours present, Hours on jobs, Unallocated hours and Unallocated %.
The people with the most unallocated hours are at the top. Rows where 25% or more of the time is unallocated are highlighted in amber.
What to look for
- A high percentage for one person. Check whether they check in on tasks every day, and whether the work they do has a task to check in on. Someone who spends a lot of time present but rarely on a task may need tasks created for their regular work.
- Days with no job logged. The person clocked in but never checked in on a task that day — often because they forgot, or because the day's work had no task.
- Negative numbers (shown in blue). More time on jobs than time present. This usually means a task check-in was left running (they forgot to check out of the task), or the day's attendance is missing. Site Connect doesn't hide these by rounding them to zero, because they're exactly what needs fixing.
How the numbers are counted
- Hours present come from the Hours on each attendance record.
- Hours on jobs only count task check-ins that have been checked out; a check-in that's still open isn't counted yet.
- Task time is assigned to the day the person checked in.
- Site Connect never moves unallocated time into a job for you. The report only shows the gap.
