Suppliers ​

Keep one directory of the companies and people you buy from — lumber yards, equipment rental, print shops, couriers. Each supplier has its contact person, bank details, payment terms, a rating and a status. Approval requests and assets can pick a supplier from this list, so nobody has to retype the details.

Where to find it

Menu: Utilities › Suppliers · Address: hub.siteconnect.ai/utilities/suppliersWho can use it: admins, and people whose role includes the Supplier permission — View to open the list, Create, Edit and Delete to change it. See Roles and permissions.

Add a supplier ​

  1. Click Add supplier.
  2. Under Key details, type the Supplier name. It's the only required field. You can also fill in:
    • Type — Company or Personal (for a person you pay directly);
    • Tax ID, Email, Phone number, Website, City and Address;
    • Category — Printing, Gifts, Office supplies, Equipment, Services, Shipping or Other.
  3. Under Contact person, add the Full name, Phone number and Email of the person you deal with.
  4. Under Bank, add the Bank name, Account number, Branch and Payment terms (for example "Net 30").
  5. Under Additional, pick a Rating (1 to 5 ★), set the Status and add internal Notes.
  6. Click Create supplier.

Site Connect gives the supplier a code automatically and shows it in the confirmation. The code can't be changed later.

One supplier per Tax ID

Site Connect won't save two suppliers with the same Tax ID. If you try, the message names the supplier that already has it — edit that one instead.

Find a supplier ​

  • Use the tabs at the top: All, Active partnership, Pause or Blacklist.
  • Type in the search box to search by code, name, Tax ID, phone or email.
  • Click Filters to narrow the list by Status or Category.

The list shows each supplier's Code, Supplier name (with the Tax ID underneath), Contact, Category, Rating and Status. Click a name to open the supplier's page.

Edit a supplier or change its status ​

  1. Click the pencil (Quick edit) at the end of the row, or open the supplier and click Edit.
  2. Change what you need — for example the Status.
  3. Click Update.

Only Active partnership suppliers appear when someone picks a supplier on an approval request or an asset. When you pause or blacklist a supplier, write the reason in Notes — whoever reads it next year won't remember.

Share a supplier ​

Open the supplier, click Share, then Get link to copy the address or Share to chat to post it in a conversation.

Pick a supplier on an approval request ​

Add a supplier field to any approval template, and the people filling in the request choose from your directory instead of typing names and bank details.

  1. Open the template in Approvals › Approval templates and go to the Form tab.
  2. Under Component, in the Utilities group, click Select a vendor. Configure the field like any other — see Approval templates.
  3. Save the template.

When someone fills in the request, they click + Select a supplier..., search and pick an active supplier. The request then shows the supplier's code, name, Tax ID, contact and bank details. Switch supplier → lets them pick another one.

Requests keep the details they were sent with

A request stores a copy of the supplier's details from the moment the supplier was picked. If the supplier later changes its bank account or Tax ID, requests already sent still show the original details — useful when the office checks a payment.

When you add or edit an asset, the Supplier field lists your active suppliers. People who manage assets can pick one without having access to this page. If the supplier is later paused or deleted, the asset keeps showing it, marked as no longer active or removed from the directory. See Assets.

Delete a supplier ​

  • One supplier: click the trash icon at the end of its row and confirm.
  • Several: tick their checkboxes and click Delete in the bar that appears.

Deleted suppliers disappear from the list and from every picker. Approval requests that already used them keep their copy of the details.

Good to know ​

  • Prefer Pause or Blacklist over deleting: the supplier stays on record with its notes.
  • Bank details are visible to everyone who can open this page, and to anyone who picks the supplier on an approval request (and the request's approvers). Give the Supplier permission only to the people who need it.
