Photos and notes
Photos live inside tasks. Open a task, take as many photos as you need without leaving the camera, and say or type what's in them. Everything you capture lands in the task's PHOTOS & FILES section — and in the project's Documents view — for the whole team to see.
Where to find it
In the app: open a task › PHOTOS & FILES › Take photo or Add file. To see everything from a project, open the project and switch to the Documents view. Who can use it: anyone working on the task.
Take photos on a task
- Open the task (see Tasks and check-in).
- Scroll to PHOTOS & FILES and tap Take photo. The camera opens and stays open, with the task name at the top so you know what you're shooting for.
- Tap the big round button to take a photo. Keep tapping — each photo is saved right away.
- Tap Gallery to add photos you already took with your phone's camera.
- When you're done, tap Done (the ✓ button).
Your photos appear in PHOTOS & FILES in time order. Photos taken in the same session are grouped together.
Pick a camera mode
Swipe or tap the modes under the shutter button:

| Photo (default) | Take a set of photos of the same thing and add one note for the whole set. |
| Site walk | Walk the site and add a separate note to each photo. |
| Video | Record a short clip with sound — up to 60 seconds. Only if your company has video turned on. |
| Scan | Scan a document — a drawing, a permit, a delivery slip. Your phone straightens and crops it. |
Add a note to your photos
You can speak a note (it's saved as a voice note) or type it.
In Photo mode — one note for the whole set
- Take your photos. A note bar appears above the shutter: Note for the whole set.
- Tap the bar and start talking — it shows Listening…. Tap again to stop. Or tap the keyboard icon to type instead, then tap Done.
- Tap Save 6 photos · keep shooting (the number matches your set) to close this set and start a new one with its own note — or just tap Done to finish.
In Site walk mode — one note per photo
The first time, the app explains: One walk. One note per photo. Tap Start the walk.
- Take a photo. A note bar opens for that exact photo: Say what's here.
- Talk, or type in Add a note….
- Take the next photo and do the same.
Get a clean recording
Wind and noise ruin voice notes. If you're too quiet, the app warns you on the spot: Too quiet — hold the phone closer to your mouth, or turn your back to the wind. A single recording can be up to 15 minutes long; at the limit it's saved and you can tap the mic to keep going.
Draw on a photo
Tap the draw button next to the note bar (or Annotate when viewing a photo) to mark up the photo with Draw, Arrow, Circle, Box or Text. Use Undo or Erase all, then Save.
Voice notes and AI transcription
Every voice note is saved with the photos and can be played back from the task.
If your company's plan includes AI for photos and notes (the Premium plan), Site Connect also turns your voice notes into text. While it works you'll see Transcribing…; the text then appears with the recording, and a note spoken for a photo becomes that photo's description. If transcription fails, you see Transcription failed — audio still saved.
Without Premium, the recording is still saved and anyone on the task can listen to it — it just isn't turned into text. See Plans & billing.
What's stamped on each photo
Unless your company has turned it off, each photo is stamped with the date and time, the GPS coordinates and accuracy, the street address, and the project and your name. If the phone had no location, the stamp says NO LOCATION; if a mock-location app was on, it says MOCK LOCATION.
Photos with something unusual — for example no location or a mock location — are marked Needs review so a manager can check them.
View, comment and tag photos
Tap any photo in PHOTOS & FILES to open it full screen. Swipe left and right to move between photos and pinch to zoom. At the bottom:
- Comments — discuss the photo; type in Write a comment… and tap Send.
- Tags — apply your company's photo tags.
- Annotate — draw on the photo.
- Map — see Where it was taken (greyed out if the photo has no coordinates).
Tap the note under the photo to edit it (Notes › Type a note › Save).
Delete a photo
Open the photo or the photo's menu and choose Delete photo (or Delete whole batch for a whole session). Deleting is a soft delete — photos are evidence — and you can tap Undo right after.
Attach files
In PHOTOS & FILES, tap Add file to attach a drawing, PDF or other document from your phone. Tap a file to open it.
No signal? Keep shooting
Photos, videos and voice notes are saved on your phone first and uploaded in the background. With no signal they wait and go up as soon as you're back online.
- In the task, items still uploading show Sending 3 items….
- If something can't be sent, the task shows a warning and a red bar appears above the bottom menu. Tap it to open Unsent items, where you can Retry or Discard each one.
See all of a project's photos
Open the project in the Project tab, tap the view switcher and choose Documents. Filter by All, Photos, Files, Voice or Needs review. See Projects.
