Tasks and check-in
The Task tab is where your day starts: it lists the tasks assigned to you, day by day. Open a task to accept it, check in when you arrive on site, add photos, and mark your part done.
In the app:
Where to find it
App menu: Task — usually the first tab, so the app opens here. Who can use it: everyone. You see the tasks you're assigned to, created, assigned to others, or follow.
Your task list
At the top of the tab you'll see the title Task, a + button to create a task, and four icons: Views & filters, Reports, Search and Change view.
Below the title, four filters choose which tasks you see:

A red number on a filter is how many of those tasks are overdue.
The Schedule view (default)
The tab opens in the Schedule view, which answers "where do I go today, and what do I do?"
- A strip of days across the top shows only the days that have tasks. Tap a day to see just that day; tap it again to see everything.
- A summary card counts your tasks: To start, Working and Done, and points to the Next step — the task to open next.
- Tasks are grouped by day. An overdue task stays on its own day with a red label, at the top.
- If a task has a job-site address, tap the address to open it in your maps app.
- Use the Time range control to switch between From today, Next 7 days, Next 30 days, This month, Any time or your own dates. Unfinished hides finished tasks (on by default); Incl. overdue keeps overdue tasks in the list.
"Schedule" view vs. Schedule tab
The Schedule view here shows your tasks by day. The separate Schedule tab (if your company adds it to your menu) is for the published work schedule, open tasks and availability — see Schedule.
Other views
Tap Change view to pick Schedule, List, Kanban, Gantt, Calendar or Workload. The app remembers your choice. In List, a chip lets you Group by Status, Due date, Project, Priority or Assignee.
- Search — tap the magnifier and type in Search tasks....
- Views & filters — filter by project (All projects or one project) and save the current setup with Save current so you can reuse it from Saved views.
- Reports — opens a Task report with tasks created, completed, open and overdue for 7 days, 30 days or This month.
- If your company runs Circles, a Circle chip appears next to the filters. Tap it to show only tasks in the running circle. See Circles.
Mark a task done from the list
Tap the circle on a task card. You'll see Task completed with an Undo button for a few seconds. A blue circle means your part is done but others on the task still have to finish; green means the whole task is complete.
Create a task
- Tap + next to the Task title.
- In Create task, type the task name. Some projects name their tasks automatically — you'll see Leave blank and the project names it.
- Set the Assignee, Status, Priority and dates, and choose a Repeat if it recurs.
- Tap Add to project to put it in a project, and add a Description if you like.
- Tap Create task.
What you can create depends on your permissions — see Roles and permissions.
Open a task
Tap any task to open it. From top to bottom you'll find:
- Top bar — Mark as done, the followers button, Share, and Options (⋯).
- Assignee — who's doing the task.
- Accept / Decline — on scheduled tasks sent to you (see below).
- The check-in card — if the project uses on-site check-in (see below).
- Start, Due and Completed — the task's dates.
- Status and Priority, plus Repeat if the task recurs.
- Project, the project's Address with a Directions button, and the Circle if there is one.
- Description, the subtasks list, labels and custom fields.
- PHOTOS & FILES — photos, videos, voice notes and documents on this task (see Photos and notes).
- Comments and Activity — type in Write a comment… to leave a note for the team. Check-ins and check-outs also show up here.
Accept or decline a scheduled task
When a scheduler sends (publishes) a scheduled task to you, the task shows You haven't replied to this task with two buttons. Your company decides whether this is turned on (see Projects settings).
- Open the task from the Task tab (or from the notification).
- Tap Accept — you'll see Task accepted, and the task shows You accepted this task.
- Can't make it? Tap Decline. Under Reason for declining you can say why — your scheduler sees it, and you can leave it blank. Tap Decline to send.
- Changed your mind? Tap Change, then pick the other answer, or Withdraw to go back to "no reply yet".
Some companies don't let you decline or withdraw when the task is very close — the app then tells you to talk to your scheduler. Accepting is not required to check in.
Check in on site
If the project uses on-site check-in, the task shows a card titled Check in to start. Checking in starts the timer for your hours on that task.
The check-in rules at a glance

Set per project on the project's Settings tab: whether check-in is on, the allowed radius (200 m by default) and whether check-ins farther away are allowed (yes by default), whether a location is required, the Check-in days, and the check-in and check-out forms. A project needs a location when Location required to check in is on, or when check-ins away from the address are not allowed. Mock locations are flagged, not blocked. Accepting the task is not required to check in.
Step by step
- Open the task
The card shows the project address — tap it to get directions.
- Tap Check in
A Check in screen opens and immediately starts getting your location (Getting your location…).
- Check the location card
- At the project address — you're within the allowed radius.
- Away from the project address — it shows how far you are, for example "350m from project address · allowed radius 200m". Tap Get location again to retry.
- Fill the form, if there is one
The bar at the bottom counts what's left, for example 2 required fields left. When everything is ready it says Start the timer.
- Confirm
Tap Check in at the bottom. You'll see Checked in · timer running.
The card turns green: Working on site, a running timer and Started at the time you checked in. If you checked in away from the address, it says Recorded off-site with the distance, so you and your manager both know.
When check-in is blocked
- Too far away. If the project doesn't allow check-in away from its address, a check-in outside the radius is refused with a message like "You are 350m from the project address, outside the allowed 200m radius." Move closer and try again.
- No location. If the project requires a location, the button stays locked with Waiting for location — this project requires it to check in until your phone gets a fix. Turn on location services and step outside if you're in a basement.
- Not the right day. Each project has a Check-in days setting. With No check-in before the start date, the button is greyed out before the task's start date and the card says Check-in opens on that date. With Only on the task's dates, it's also closed after the due date (check-in closed after that date). Tasks without dates can be checked in any day.
- Someone else's task. On a scheduled task, only the assigned person can check in. If the task is still open, take it first in the Schedule tab.
Good to know:
- Fake GPS — if your phone uses a mock-location app, the screen warns Mock location is on — this entry will be flagged.
- Still checked in elsewhere? The card reminds you: You have 1 other task(s) still checked in. It doesn't stop you.
- Check-in required. If the project requires it, you see This project requires checking in before work, and you can't set your part to In progress without checking in.
- Check-in only works in the mobile app, and it needs a data connection.

Check out
When you leave the site, open the task again. The green card has two buttons:
- Check out — stops the timer. Use this at the end of each day on a job that takes several days. You'll see Checked out · timer stopped.
- Check out & mark as done — stops the timer and marks your part of the task done. You'll see Checked out · your part is done.
If the project has a check-out form, the Check out screen opens so you can fill it in first. Check-out is never blocked by your location — you can check out from the parking lot.
Forgot to check out?
Site Connect closes forgotten check-ins automatically (for example after the task's end time or your company's working hours). The visit then shows Closed automatically in Work log. Ask your manager to correct the time if it's wrong.
Mark your part done
Tap Mark as done at the top of the task. You can do this any time — before or after checking out.
- On a task with several assignees, this marks only your part. The button turns blue and a note says You are done · 2 people still to finish. The task completes when everyone is done.
- Tap the button again to reopen your part.
- Changing the Status to a finished stage closes the task for everyone. If people haven't finished, the app asks Close this task for everyone? and names them — tap Close task only if that's what you mean.
Good to know
- Options (⋯) has Label, Task dependencies, Recurring, Duplicate task and Delete task, and lets you convert a regular task to an approval.
- Share sends a link to the task; the people on the task can open it on the web or in the app.
- If you schedule work, scheduled tasks also show Draft or Published and a button to publish or unpublish them. See Publish and share the schedule.
- With no signal, the list and the tasks you opened before stay readable. Check-in, check-out and edits need a connection; photos and voice notes are saved and sent later.
