Print library

The print library is your company's shelf of printed material: jobsite signs, safety posters, hoarding banners, business cards, brochures. Each item keeps its print-ready design file, every earlier version of that file, and a status that tells everyone whether it's the one to use. When it's time to reorder, anyone can download the right file instead of digging through email.

Where to find it

Menu: Utilities › Print library · Address: hub.siteconnect.ai/utilities/print-libraryWho can use it: admins, and people whose role includes the Print library permission. See Roles and permissions.

Add an item

  1. Click Add publication.
  2. In Add print publication, fill in:
    • Publication name (required) — for example "Site sign — 4 x 8 ft";
    • Type — pick Poster, Standee, Namecard, Brochure, Voucher, Banner, Flyer, Backdrop or Other, or type your own (such as "Truck decal") and choose + Add type "…";
    • Dimensions — for example "24 x 36 in";
    • Tags (comma-separated) — words that help people find it, such as safety, english;
    • Description — when it's used, who owns the design.
  3. Click Create.

Site Connect opens the item's page so you can upload the design file right away. New items start as In use.

Upload the design file

On the item's page, under Current file:

  • drag the file onto the box, or click the box to pick it (PDF, AI, PSD, JPG, PNG, ZIP and so on).

The file becomes version 1 (v1). Each file can be up to 50 MB.

Upload a new version

When the design changes — new logo, new phone number, corrected spelling:

  1. Click Upload new version.
  2. Add the Design file.
  3. Write what changed in Version notes, for example "New safety hotline number".
  4. Click Upload.

The new file becomes the current one and is marked Master version. Earlier versions stay under All versions, each with who uploaded it, when, its size and its notes.

Download the file to print

  1. Open the item.
  2. Under Current file, click Download.

You can also download any earlier version from All versions.

Go back to an earlier version

If the new version was a mistake:

  1. Under All versions, find the version you want.
  2. Click Set as the standard version, then Restore.

That version becomes the current file again. Nothing is deleted — the other versions are kept.

Edit the details

On the item's page, under Information, click any field — Type, Status, Dimensions, Tags (comma-separated) or Description — to change it. Text fields save when you click the check mark; Type and Status save as soon as you pick a value. Click the name at the top to rename the item.

Statuses

StatusMeaning
DraftStill being designed — don't print it yet
In useThe current, approved version
ArchiveRetired. Kept for reference, but no longer printed

Archive instead of delete

When a sign or poster is replaced, set the old item to Archive and add the new one. Nobody reprints last year's version by mistake, and you can still see what was out on your sites.

Find an item

  • Use the tabs: All, In use, Poster, Standee, Namecard or Archive.
  • Search by publication name.
  • Click Filters to narrow by Type or Status.

The list shows each item's name and dimensions, Type, current Version (or Not uploaded yet), tags, Status and Created by.

Discuss an item

At the bottom of each item's page, the Comments tab lets your team talk about the design — for example to ask for a change before the next print run. The Activity tab shows what happened to the item.

Delete an item

  • From the list: click the trash icon at the end of the row, or tick several items and click Delete.
  • From the item's page: click the trash icon next to Upload new version and confirm with Delete.

The item disappears from the library.

Good to know

  • Uploaded design files are stored in your workspace's storage. See Storage.
  • The print library holds files to send to a printer. Forms your crew fills in on site belong in Form templates.
