Inside a project ​

Each project has its own page with everything about that job site in one place: how many tasks are open or late, who's been working there and for how long, the money side of the job, the latest site photos, and the project's settings.

Where to find it

Menu: Project › List, then click a project · Address: hub.siteconnect.ai/projects/… Who can use it: anyone with the Task · View permission. The Finance tab and labour cost figures are only shown to admins and people with the HR reports · View permission. See Roles and permissions.

The top of the page ​

The header shows the project name, its stage and priority, and the address. Next to it you'll see whichever details have been filled in: Manager, Customer, PO number, Time (start and end dates), Est. billing and Late tasks. If nothing has been entered yet, you'll see No project details entered yet — click it to jump to the Settings tab.

Project list at the very top takes you back to the list.

Below the header is a row of tabs: Overview, Task, Work hours, Members, Finance, Image and Settings.

Overview ​

A quick read of the job:

  • Open tasks (out of all tasks), Late tasks, Work hours (compared with planned hours — the label changes to Work hours — over plan when hours run more than 20% over) and People who worked here.
  • Estimated profit — shown to people who can see money, once a contract value is entered.
  • People working on it — the top five people by hours. See all opens the Members tab.
  • Recent tasks — the five newest tasks. See all opens the Task tab.
  • Latest site photos — the four newest photos from the project's tasks.

Task ​

Counts of Open, Overdue and Done tasks, then Tasks in this project — the 25 most recent tasks. Click a task to open its details without leaving the project (see Task details).

To see every task, filter them or drag them around a board, click Open Kanban board. That opens the project on the Tasks screen.

Work hours ​

Hours come from check-ins on the project's tasks.

  • Total actual hours, Planned hours (task estimates), Over plan and People.
  • Hours by week (last 12 weeks) — a bar for each week.
  • A table of each person's hours. People who can see money also get a Labour cost column. If some of a person's sessions have no hourly rate yet, you'll see how many entries are not costed.

Members ​

This tab lists everyone who has been given a task on the project or has checked in there, with:

This list is built from the work itself

You don't add people on this tab. Someone appears here as soon as they're assigned a task on the project or check in on it. To control who can see the project's tasks, see Add people to a project.

Finance ​

Only admins and people with the HR reports · View permission see this tab.

  • Estimated profit — the contract value minus what's been spent, with the margin and the hours logged on the site. Click Edit figures to change the contract and invoicing numbers on the Settings tab.
  • Money in — Contract value, Invoiced and Estimated billing date, with a bar showing how much of the contract you've invoiced.
  • Money out — Labour cost to date (hours × each person's rate on the day they worked), Other costs (approved and paid expense requests for this project) and Total out.

If a project has no figures yet, you'll see a prompt with an Enter figures button. Contract and invoice amounts are entered by hand — they're not linked to accounting software.

Sessions without a rate

If some work sessions have no hourly rate, a yellow warning tells you how many. The labour cost above doesn't include them until rates are set — see Labour cost rates.

Image ​

The latest photos taken on the project's tasks (up to eight). Photos live inside tasks — to take more or add captions, open the task. See Photos and notes.

Settings ​

Everything about this one project, edited right on the page. Changes to the check-in, visibility and background sections are saved as soon as you make them.

Project details ​

Edit the Project name, Project colour, Stage, Project manager, Team, Priority level, Start date, End date, Customer, PO number, Contract value, Invoiced and Estimated billing date, then click Save details. Discard changes puts the form back the way it was.

You can also change most of these from the list: hover the project's row and click the pencil (Quick edit).

Who in the project can see tasks? ​

Pick Public to the whole workspace, Public within the project or Private. See Add people to a project for what "member" means here.

Circle ​

Choose how this project's tasks fit into Circles (fixed work periods, like sprints). See Circles.

On-site check-in ​

  1. Tick Enable check-in for this project. Your crew will check in on their phones when they arrive at a task, and their hours count from that moment.
  2. Click Detailed settings to open the full check-in setup:
    • Check-in required — without checking in, people can't move their part of a task to in progress. Marking a task done is always allowed.
    • Check-in days — Any day, No check-in before the start date (overdue tasks can still be checked in) or Only on the task's dates (from the start date to the due date). Tasks without dates can be checked in any day.
    • Forms this project uses — add forms from your Form templates with Add form, then mark each one Ask on check-in and/or Ask on check-out.
    • Location — every check-in records the phone's location. Allow check-in away from the project address decides whether people far away are blocked. When it's off, set the radius on the map. Location required to check in blocks check-ins when the phone can't get a location.
    • The project address and map, the same as on the create form.
  3. Click Done. Every change is saved as you make it.

A short summary under the switch tells you what's in force (for example "Required · within 200m only").

Only admins can change check-in settings.

Turning off "Allow check-in away" without an address

If there are no coordinates to measure from, Site Connect keeps allowing check-ins anywhere and warns you. Set the address first.

Background and custom fields ​

  • Background — the background of this project's task board on the Tasks screen. Pick a colour or picture, Upload image, or Remove background.
  • Custom fields — click Manage custom fields to add your own fields (text, number, date or choice) to the project's tasks.

At the bottom of the tab, Open this project in Tasks takes you to the project's task board and Settings for all projects takes you to Project settings.

Add people to a project ​

There are three ways people relate to a project:

  • Assignees — anyone you give a task to. They see their tasks in the app and show up on the Members tab automatically.
  • Team — the project's team or department (set under Project details). It groups the project's work on the Scheduling board and lets you filter by team.
  • Members — people or whole departments the project is shared with. Membership matters when the project is set to Public within the project.

To share the project with people or departments:

  1. On the Settings tab, click Open this project in Tasks.
  2. In the toolbar, click Share.
  3. Under Add people or departments, click Search and add members....
  4. Choose Employee or Department, search, and click the one you want.
  5. Pick their role (for example Edit to create, edit and delete tasks and lists) and click Add.

The project's owner always has full access. Project roles apply to every list and task in the project. Only project admins can share.

Archive or delete a project ​

Archiving and deleting are done from the Tasks screen:

  1. On the Settings tab, click Open this project in Tasks.
  2. Click Customize in the toolbar.
  3. Under Action, click Archive (the project is hidden from lists but its data is kept) or Delete project.

Deleting is permanent

Delete project removes the project and all of its tasks. If you just want it out of the way, archive it — or move it to a closed stage so the Running filter hides it.

Good to know ​

  • Photos, check-ins and hours all come from the project's tasks. A project with no tasks has nothing to show on most tabs.
  • Links to a project keep working when you share them: each tab has its own address, so you can send someone straight to, say, the Work hours tab.
