Bots ​

A bot is a chat account that software can use instead of a person. Use one to let another system — a scheduling tool, a monitoring system, your own script — post messages into your chat groups, or receive the messages people write there. Your automation flows can also post through your own bots.

Where to find it

Menu: Utilities › Bot · Address: hub.siteconnect.ai/settings/botsWho can use it: people with the Bot permission. Creating and changing bots needs edit rights on it — admins have it by default. The menu item only appears when Chat is switched on for your workspace. See Roles and permissions.

Built-in bots

Site Connect's own notifications (approvals, tasks and so on) come from built-in bots. You don't need to create anything for those — this page is for bots you add yourself.

Create a bot ​

  1. Click Create bot.
  2. Optional: click the square on the left to choose an avatar (an image up to 5MB).
  3. Enter a Display name — the name people see on its messages, e.g. "Equipment alerts".
  4. Enter a Username (required): 3–32 characters, letters, digits or _, starting with a letter. It must be unique in your workspace.
  5. Add a Description if you like, then click Create bot.

The bot's detail page opens. The rest of the setup happens there.

Get the bot's token ​

Software that sends messages as the bot needs its token.

  1. On the bot's page, find Token API and click Regenerate token.
  2. Confirm. The new token is shown only once — copy it and store it somewhere safe right away.

Regenerating stops the old token immediately, so anything still using it must be updated. If you lose the token, just regenerate it.

Add the bot to a group ​

A bot can only post in, and read from, groups it's a member of.

  1. Open the group in Chat. You need to be the group's owner or an admin.
  2. Click ⋯ in the header, then Bot under In the room. The Bots in the room window opens.
  3. Under Add to the room, click Add next to your bot.

Whether the bot reads the group's messages is controlled by a switch — Read messages in that window, and Mark all read next to each group under Groups the bot joins on the bot's page. Both are the same setting:

  • On — the bot receives every message people post in that group.
  • Off — the bot only receives messages where someone @mentions it.

Bots never receive messages from other bots, so two bots can't get stuck in a loop.

Receive messages in your software (webhook) ​

To have Site Connect forward group messages to your system:

  1. Under Webhook, enter your system's Webhook URL.
  2. Enter a Secret. Each forwarded message is signed with it so your system can check it really came from Site Connect.
  3. Click Save webhook.

Which messages get forwarded depends on the read switch for each group (see above). To stop forwarding, clear the URL and save.

Let another system post into a group (incoming webhook) ​

An incoming webhook gives an outside system a private web address it can post to — no login and no bot token needed. Whatever it sends appears in one group, posted by the bot.

  1. Make sure the bot is already in the group.
  2. Under Incoming Webhook, click Create webhook.
  3. Choose the Target group (required), and give it a Friendly name so you remember what it's for.
  4. Choose the Security level:
    • No (the secret URL is enough) — anyone who has the address can post.
    • HMAC signature — the sender also has to sign each request with a secret.
  5. Optional: open Advanced options (keywords / IPs) to only accept messages containing certain keywords, or only from certain IP addresses.
  6. Click Create. The Webhook URL (and the secret, if you chose a signature) is shown only once — copy it now.

Each webhook in the list shows its target group, its security level and when it was Last used:. Use the refresh icon to issue a new secret, or the bin icon to delete the webhook — the address stops working immediately.

Send a test message ​

Under Send test, type a message and click Send test. Site Connect creates a small demo group with you and the bot in it and sends your text as the bot, exactly the way outside software would. This only works right after you've clicked Regenerate token on the same page, because the test uses that token.

Use a bot in an automation ​

In an Automation flow, the Send notification via Chat action can use your bot under Send from bot. Your own bots can only post into groups (not direct messages), and only into groups they've been added to.

Edit or disable a bot ​

  • Information: change the Display name or Description and click Save. Click the avatar at the top to change the picture.
  • Danger zone: Disable bot turns the bot off. Its token and webhooks stop working.

Good to know ​

  • Everything a bot posts in a group is visible to everyone in that group.
  • Treat tokens, webhook addresses and secrets like passwords — anyone who has one can post as the bot.
