Locations

Locations are your fixed workplaces — the office, the yard, the shop — each with a geofence: a circle around a point on the map. Site Connect uses them when people clock in and out on the Attendance tab of the mobile app, to tell whether they're "inside" a workplace or not.

Where to find it

Menu: HR › Locations (under Settings) · Address: hub.siteconnect.ai/locationsWho can use it: admins by default. Others need the Location row in Roles and permissions: View to see the list, Create to add a location, Edit to change, suspend or delete one.

Locations are not project sites

Task check-ins don't use this list. When a worker checks in on a task, Site Connect checks the distance to that project's address, using the project's own check-in settings — see Project profile. You only need locations if your team clocks in on the Attendance tab of the app.

Add a location

  1. Go to HR › Locations. The Location management page opens.
  2. Select Add location. The Add new location form opens.
  3. Enter the Location name (required) — for example Main office or North yard.
  4. Set the position, using whichever is easiest:
    • Paste a Google Maps link to auto-fill coordinates — in Google Maps on your phone, tap Share › Copy link, paste it here and select Get coordinates. You can also copy the browser address once the right spot is selected in Google Maps. You'll see Coordinates received.
    • Type the Latitude and Longitude.
    • Click the spot on the Map.
  5. Drag the Geofence radius: slider — from 50 to 1,000 metres, 200 m by default. The circle on the map shows the area that counts as "inside".
  6. Check the Address. It's filled in from a pasted link if the field was empty; you can type it yourself.
  7. Select Create. You'll see Location created.

Fix the starter location

New workspaces come with one placeholder location that has no real position (it sits at latitude 0, longitude 0). Until you edit it with your office's details — or suspend it — nobody can be "inside" it.

Find, edit, suspend or delete a location

The list shows each location's Location name, Address, Coordinates, Radius, Wi-Fi (how many office networks are listed) and Status. Use the search box (Search name / address / Wi-Fi...) or filter by Status.

  • Edit (pencil icon) — opens Edit location. Change what you need and select Update.
  • Suspend it — select the power icon and confirm in Suspend location. Nobody can clock in from it until you turn it back on with the same icon (Activate).
  • Delete (bin icon) — confirm in Delete location. The location is switched off and stays in the list as Suspended; attendance already recorded there is kept.

How Site Connect uses locations

When someone clocks in or out on the Attendance tab, Site Connect measures the distance from their phone to each active location:

  • Within the radius of any location — they're inside. By default no photo is needed, and the record shows that location's address.
  • Outside every location — by default they must take a photo and have their location turned on. The app also asks them to send an Out of office approval request and wait for approval before clocking in, unless an approved Working from home request covers that day.

You can change the photo and location rules — for the whole company, for one location, one team or one person — in Attendance settings. There, the branch scope means one of these locations.

Good to know

  • Make the radius big enough to cover the whole site plus a margin for GPS accuracy, which is often 20–100 m on a phone.
  • You can leave Office network IPs (one IP/CIDR/prefix per line) empty. Whether someone is inside a location is decided from their phone's GPS position.
  • Suspended locations are ignored when people clock in, but their past attendance stays as it was.
