Notification templates ​

A notification template is the design of a card — the boxed message with a colored header, a title, a few info rows and buttons that appears in chat. There are two kinds:

  • System templates draw the preview card you see when someone pastes a Site Connect link (a task, an approval request…) into chat. They come with your workspace.
  • Custom templates are your own cards, used by Automation flows that send notifications through chat.

Where to find it

Menu: Utilities › Notification templates · Address: hub.siteconnect.ai/utilities/notification-templatesWho can use it: people with the Notification templates permission. Creating, editing and deleting need the matching rights — admins have them by default. Only admins can edit System templates, and nobody can delete them. See Roles and permissions.

The template list ​

Each row shows the Template name, its Type (System or Custom), the Card title, the Bot type (which sets the card's color theme), its priority Level, whether it's on or Off, and when it was last changed. System templates show a lock instead of a delete button.

Use the search box (Search by name or title...) or the filters — All types, All bots, All statuses — to narrow the list. Click a row to open a template.

Create a custom template ​

  1. Click Create new template.
  2. Under General information:
    • Template name (internal) (required) — what you and your colleagues call it, e.g. "Overdue task alert". Recipients don't see it.
    • Description (internal) — when to use it.
    • Bot type / color theme — sets the default icon and color of the card header.
    • Status — tick the box to make the template active. Only active templates can be chosen in automations.
    • Appearance customization (override) — optional: pick your own Background color and Icon instead of the bot type's defaults. Remove override goes back to the default.
    • Eyebrow label — the small capitalized text at the top of the card header. Leave it empty to use the bot type's default.
  3. Under Card content:
    • Title (shown on the card) (required), e.g. Task due soon: {{trigger_data.title}}.
    • A short description under the title.
    • The “Details” button's destination — the page that opens when someone clicks Details on the card. Use a page address from the hub, or a full web address. Leave it empty to hide the button.
    • Status badge and Priority level — optional colored badges on the card. Displayed badge label lets you change the badge's wording.
  4. Optional: add up to 5 Classification tags to keep your templates organized.
  5. Under Info rows (FieldRow), click Add row for each line of details: a label (e.g. "Deadline") and a value (e.g. {{trigger_data.due_date}}). The mobile app shows up to 4 rows.
  6. Under Action buttons, click Add button to add up to 3 buttons. For each, enter its label, pick a style, and enter what it opens.
  7. Check the Live preview on the right, then click Create template.

Variables

Anything written as {{name}} is a variable: it's filled in with real data when the notification is sent. In the preview, variables show as they're written.

Use a template in an automation ​

  1. Open a flow in Automation and add (or open) a Send notification via Chat action.
  2. Under Notification template (optional), pick your template. A preview of the card appears, and the Title and Content boxes disappear — the template replaces them.
  3. Save the flow.

In a template meant for automations, refer to data from the flow's trigger as {{trigger_data.field}} — for example {{trigger_data.title}} for a task's title. It's replaced with the real value when the message is sent. Only the first 4 info rows show on the card.

Edit a system template ​

System templates decide how links pasted into chat are shown. Their Triggering URL syntax section shows which links they react to, with an example.

Admins can change a system template's wording, info rows, colors and icon. Its bot type, the links it reacts to and its action buttons are locked: the buttons (Details, approve, reject…) appear automatically based on the real status of the item. For example, an approval request that's still pending shows three buttons; once it's approved, only Details remains.

Turn off or delete a template ​

  • Turn off: open the template, untick Status, and click Save changes. It stays in the list but no longer appears when you choose a template in an automation.
  • Delete (custom templates only): click the bin icon in the list, or Delete at the top of the template, and confirm. This can't be undone.

Good to know ​

  • Copy link at the top of a template copies the address of that template's page — handy for sharing with a colleague.
  • A template on its own sends nothing — it's used when an automation sends a notification with it, or (for system templates) when a link is pasted into chat.
