Tasks
The Tasks screen is your to-do list across every project: tasks assigned to you, tasks you created or handed out, tasks you follow, and each project's own task board. In Site Connect, tasks live inside projects. A task that is placed on a day and time on the Scheduling board becomes a scheduled task (what other tools call a shift); the board is where you plan those, and this screen is where you work through everything else.

Find your way around the task sidebar
When you open Tasks, a second sidebar appears next to the main menu. It decides which tasks you see.

A red number next to an item is the count of overdue tasks in it, not the total. Hover over it to see both numbers. The red number on Tasks in the main menu counts your own overdue tasks.
In the Projects section you can also:
- Type in Search projects... to find a project by name.
- Click Create new project to open the same form as on the Projects screen — see Create a project.
- Hover over a project and click the star to pin it.
- Click the arrow next to a project to show its task lists. Click a task list to see only its tasks.
- Hover over a project and click ⋯ for Add task list, Customize (opens the project's settings), Share, Rename, Archive and Delete.
- Hover over a task list for Rename, Share list and Delete list (or double-click its name to rename it). You can only delete a task list when it has no tasks.
- Admins also see All system projects..., which lists every project in the workspace so you can open or pin it.
Need more room?
The small panel button to the left of the page title collapses the side menu and gives the task list about 240px more width. Click it again to bring the menu back.
Switch between views
The tabs at the top right show the same tasks in different ways. Site Connect remembers your choice separately for each filter and each project.
- List — a table grouped by status, with columns Title, Assignee, Due, Projects, Status and Level (priority). The Complete group starts collapsed so you see open work first. Click a group header to collapse or expand it.
- Kanban — cards in columns. Use the Group: menu to choose the columns: Status, Due date, Projects, Priority, Assignee or Customize. Drag a card to another column to change its status, priority or project. Customize gives you your own personal columns (click Add column); only you see them, and you can drag only tasks you are assigned to.
- Gantt — a bar per task from its start date to its due date. Blue bars are open, red bars are overdue and green bars are done. Tasks without dates are left out.
- Calendar — a month grid with each task on its due date. Use Today and the arrows to move between months.
- Workload — one row per person and one column per day (This week, 2 weeks or Month). Each cell shows the planned hours, spread from the task's Estimated hours over its dates, and, underneath, the actual hours from check-ins. Cells are green while someone is well under 8 hours a day, yellow as they get close, and red when they go over. Click a cell to see that person's tasks, site visits and submitted forms.
- Report — charts of the tasks in this view: open tasks by status, tasks created and completed per period, completion rate and more. Click a chart to see the tasks behind it.
Inside a project there is one more tab, Documents, with every photo, voice note, file and submitted form in the project — see Photos & notes.
Search, filter and save views
- Search tasks... finds tasks by title or description. Search also finds subtasks and shows them under their main task.
- On the sidebar views (Mine, Created by me and so on), Filters narrows the list to one project, or to (No project). Pick All projects or Clear filters to undo it.
- The bookmark button next to Filters holds your Saved views. Set up the view, filter and grouping you like, click Save current view, give it a name and click Save. Tick Share with the whole company to let everyone use it. Click a saved view to apply it, or the star to pin it.
Create a task
- Click Create task at the top right.
- Fill in the Create new task form: a title, the Assignee, the time, the project and a Description. Every field is explained in Task details.
- Click Create task.
To create a task with just a title, click Add task at the bottom of a group in List view or of a column in Kanban view, type the title and press Enter. The task picks up that group's status, priority or project, and you are set as the assignee.
Create tasks inside the project
Tasks belong in projects. Open the project from the sidebar (or click Open Kanban board on the project's Task tab) and create the task there, so it is filed in the right project automatically. The step-by-step version is in Create tasks.
Work with one project's tasks
Click a project in the sidebar to open its task board.
- The same view tabs apply, plus Documents. In List view, tasks are grouped by task list; click a task list name to open it on its own.
- Create task files the new task in this project (and in the task list you are looking at). In Calendar view you can also click an empty day to create a task due that day.
- Customize opens the project's settings — the same settings as the project's Settings tab. See Project profile.
- Share lets you give people or teams access to the project or task list.
- If your company uses Circles, a Circle button on the toolbar filters the board to Only tasks in the running circle, Tasks not in any circle or All tasks.

Complete tasks from the list
Click the circle at the start of a row to mark your part of the task as done. The circle turns:
- blue when you have finished your part but other assignees have not;
- green when the whole task is complete.
Click it again to undo. If you tick a task you are not assigned to, Site Connect adds you as an assignee first.
You can also change the due date, assignees and status straight from the row: click + Due date, + Add or the status chip.
Change many tasks at once
- In List view, hover over a row and tick the checkbox that appears on the left. Once one task is ticked, every row shows a checkbox.
- Tick all the tasks you want. A dark bar appears at the bottom of the screen.
- Use Priority or Status to change them all, or Delete to delete them. Deleting asks you to confirm and cannot be undone.
- Click × (Deselect) to clear the selection.
Good to know
- Lists show main tasks only. Subtasks live inside their main task; a small counter such as 2/5 on the row shows how many are done. Click the arrow at the start of the row to show them.
- The task statuses are Pending, In progress, Suspended and Complete. A task list can add its own — see Task statuses.
- The priorities are Urgent, High, Normal and Low.
- Scheduled tasks show a Draft or Published chip on their row. A draft scheduled task does not appear in its assignee's lists until the scheduler publishes it — see Publish and share the schedule.
